How to book an airport transfer

From the first quote to the morning of the journey: what to decide, what to check, and what happens when the flight does not go to plan.

Step by step

What to do, in order

What to do at each step, why it matters, and what you should be looking at.

  1. Work back from the flight, not forward from home

Start with the time you need to be at the airport rather than the time you would like to leave. Check-in closes well before departure, security takes longer at peak times, and a transfer booked for the check-in deadline is a transfer booked too late. Most airlines want you there two hours before a short-haul flight and three before a long-haul one.

  2. Enter both addresses and the pickup time

Give the full address at each end, including the terminal if you know it, and the time you want to be collected. Booking at least four hours ahead is what our system needs to allocate a driver; booking days or weeks ahead is cheaper and gives you a choice of vehicles.

  3. Choose the vehicle that fits everybody

Each option shows its passenger and suitcase capacity beside the price, so compare them against your party rather than against each other. Child seats take a seat each, and a pushchair takes boot space a suitcase would have used — if it is close, take the next size up.

  4. Add the extras you actually need

Meet and greet puts the driver inside arrivals with a name board; child seats are fitted before pickup. Both are chosen while you book and neither changes the fare afterwards. If you are being met by someone you have not met before, meet and greet is the difference between a name board and a phone call.

  5. Pay, then keep the confirmation

Card payment confirms the booking and the confirmation carries your driver’s name and mobile number, the meeting point and the price you agreed. Keep it on your phone: it is what you show at the airport if anyone asks, and it is where the number to call is.

Questions

Questions we are asked

How far in advance do I need to book?

At least four hours before your pickup. You can book up to six months ahead, and booking earlier is always cheaper than booking on the day.

What happens if my flight is delayed?

We track your flight number and move your pickup to match your actual landing time. There is no extra charge for a delayed flight, and your driver waits until you come through arrivals.

Is the price fixed, or does it change with traffic?

It is fixed. The price you are quoted when you book is the price you pay. Traffic, time of day and the route your driver takes do not change it.

Can I cancel my booking?

Yes. Cancel up to 24 hours before your pickup and you are refunded in full. Inside 24 hours, contact us and we will do what we can.

Do you provide child seats?

Yes — child and booster seats can be added when you book at no extra cost. Tell us the ages of the children travelling so the right seats are fitted.

How much luggage can I bring?

Each vehicle listing shows its passenger and suitcase capacity. If you are unsure whether your luggage will fit, choose the next size up or contact us before booking.

How far in advance should I book?

At least four hours before pickup, and as far ahead as you know your plans. Booking early gives you a wider choice of vehicles and a better price than booking on the day.

What if my plans change after I book?

Cancel up to 24 hours before pickup for a full refund. Inside 24 hours, call us — a moved time is often possible, and we will tell you honestly if it is not.

Where do I find my driver’s details?

They are on your booking confirmation and are sent by email before you travel. If you have not had them by the evening before pickup, call and we will resend them.
